The South East Europe Transport Observatory (SEETO) is a regional transport organisation based in Belgrade since 2005 and comprises the following regional participants: Albania, Bosnia and Herzegovina, the former Yugoslav Republic of Macedonia, Montenegro, Serbia and Kosovo*.
SEETO is established by the Memorandum of Understanding for the development of the Core Regional Transport Network (MoU), signed on June 11th, 2004 by the Governments of Albania, Bosnia and Herzegovina, Croatia, the former Yugoslav Republic of Macedonia, Montenegro, Serbia, the United Nations Mission in Kosovo and the European Commission.
The aim of the SEETO is to promote cooperation on the development of the main and ancillary infrastructure on the multimodal SEETO Comprehensive and Core Transport Network and to promote and enhance local capacity for the implementation of investment programmes, management and data collection and analysis on the SEETO Comprehensive and Core Transport Network.
Purpose/Description of the position:
The Administrative Assistant will be responsible for providing administrative support to ensure efficient operation of the office. He/she will support other staff trough variety of tasks related to communication and organization ensuring that all administration tasks are completed accurately and delivered with high quality and in timely manner. He/she will be in charge for keeping files, office supply stocks, ensures operations of equipment and information distribution within the office, drafting different minutes, notifications and letters.
He/she will be a full time team member of the SEETO Secretariat in Belgrade and will work with a team consisting of SEE regional experts.
Main Tasks of the Administrative Assistant
The Administrative Assistant shall independently carry out his/her tasks under supervision of the General Manager of the SEETO Secretariat and in accordance to the guidelines of the Steering Committee. In performance of his/her tasks and duties he/she shall act impartially and independently from any specific signatory party of the MoU and with clear instructions from the Steering Committee.
The main tasks of the SEETO Administrative Assistant will be:
- Preparation of written responses to routine enquiries and resolve administrative issues and inquiries
- Preparation and modification of documents including correspondence, drafts and memos
- Maintain electronic and hard copy SEETO archive
- Schedule and coordinate meetings, appointments and travel arrangements for SEETO personnel
- Provide receptionist services
- Record, compile, transcribe and distribute internal minutes of meetings
- Open, keep records of and distribute correspondence
- Maintain office supply inventories and coordinate maintenance of office equipment
- Assists in preparation of SEETO documents and reports
The SEETO Administrative Assistant is expected to be team player, proven in administrative work and communicative. Strong interpersonal skills and work ethic, combined with professionalism will be needed. He/she should be familiar with MS Office and office management process. University degree is needed as well as high level of English knowledge. Experience in public sector organization / projects / regional organizations will be considered as an advantage. Fluency in languages spoken in the Western Balkans region is a strong asset and experience in coordination of document design will be welcomed.
He/she shall be national of one of the six SEETO Regional Participants: Albania, Bosnia and Herzegovina, the former Yugoslav Republic of Macedonia, Montenegro, Serbia and Kosovo.
Remuneration and Contract
Compensation will be commensurate with the qualifications and experience of the successful candidate, corresponding to experience and education. Living expenditures such as housing allowance or traveling will not be covered. SEETO is in need of immediate employment without delays due to any reason of availability and contract will be set up with SEETO until the end of the year 2017 with the possibility of extension.
